5 Ways to Boost Webinar Attendance with Events Telemarketing

Events are used to promote, spread brand awareness and of course, to generate leads.  The success of the webinar depends on your effort of finding the right audience. So whether your purpose is to introduce a new product to the market or just wanted a simple gathering with some of the leading companies in your industry, you need to find different ways to boost your attendees.

One way to let your audience know about your event is through telemarketing. Here are the 5 ways to increase your webinar attendees with event telemarketing. 

#1. Send out the email.

I know we’re talking about telemarketing. But let me tell you why. Email has always been a part of our telemarketing campaign. It is best to send out emails first so that your prospect would know what to expect when you phone them.

TIP: It makes your life easier because some will respond to email – interested to attend or not, and you don’t need to call them anymore.

#2. Call and invite them personally.

Make your invitation more personal by calling them. When talking to someone on the phone, be direct to the point. You’re calling them during office hours. You don’t sound like the call will take longer than it should be. 

For example: 

“Hi, Michelle. This is Ana with ABC Company. I called because we would like to invite you to our annual digital marketing webinar. This year, we will focus on the newest digital marketing tools available in the market. Different IT companies all across Asia will be there to showcase their products and provide free use of it to all of the attendees. Would you be available on September 20, Wednesday at 10 AM?”

TIP: When inviting your prospect on the phone, it should be at least 3-5 minutes. Remember to use KISS (Keep it simple and short).

#3. Send calendar invite.

We usually the busiest person – Managers, Directors, C-level within the organization. Sending calendar invite is very important to remind them that they will be attending an event soon. 

TIP: You can also create an event page on Facebook and add all of your attendees so FB can automatically remind them of the event.

#4. Reminder call.

Your prospect’s time is important. But so is yours. Reminder calls are done to confirm their attendance to the event. Some call 2 days before or on the day of the webinar. However, it is best to do it one day before the event so it’ll be easier for them to remember. 

TIP: If it’s a one on one webinar, you can always reschedule the event during the reminder call especially when the prospect tells you something came up and that he’s no longer available on that day. 

  • Send out reminder email to;
  • Attendees you’ve failed to contact through phone
  • Attendees who did not reply to a meeting request

It is always best to maximize your effort to increase the attendees of your event. Sending out a reminder email to attendees allows you to know your next action plan based on their response.

Dear Ms. Michelle Ong, 

This is a reminder to confirm your attendance to our Annual Digital Marketing Webinar. 

The online event will be on September 20, 2017, at 10 AM. This year, we will focus on the newest digital marketing tools available in the market. Different IT companies all across Asia will be there to showcase their products and provide free use of it to all of the attendees.
